Who it's for

For businesses that slow down when equipment breaks

Different trades, one problem: when a machine goes down, work stops and money leaks. Equipora fits any of them out of the box.

Auto shops
Machine shops
Gyms & fitness
Contractors & fleets
Restaurants & cafés
Laundromats

…and any small business that depends on gear to keep operating.

Watch the tour

The whole workflow in 40 seconds

See how a problem goes from a QR label on the machine to a work order and a plain-English insight, no demo call, no sales deck.

What you get

The maintenance loop, closed

Report, schedule, and act on what your equipment is telling you, without the bloat of enterprise CMMS software.

Report problems in seconds

Techs scan the QR label and report a problem from their phone browser, no app to install, no account to create.

Know what's costing you money

Plain-English insights name the asset eating your budget, the failures that keep repeating, and the certificates about to expire, no chart-reading required.

Never miss preventive maintenance

Time- or meter-based PM with automatic reminders, so oil changes, inspections and service intervals stop slipping through the cracks.

See downtime and spend by asset

Track spend by machine and month, and price downtime against your labor rate, so you can prove which equipment to repair, keep, or replace.

Prove your uptime

An availability figure for every machine, plus mean time to repair and mean time between failures. The number you quote to an insurer, a landlord, or the customer asking why their job is late.

Stop paying for warranty work

Record when each warranty runs out and Equipora watches it for you, flagging repairs you paid for while the supplier was still on the hook, and nudging you to inspect before the cover lapses.

Promise a date, and keep it

Set a response target per priority and every work order gets a due date. Late jobs surface on the dashboard instead of quietly ageing, and you get an on-time rate you can actually show someone.

Keep compliance under control

Track inspections and calibrated instruments, and store manuals and certificates with expiry alerts, audit records ready in minutes.

Hear about it when it happens

A machine marked out of service, or a job opened at high priority, emails the people who can act on it in seconds instead of waiting for tomorrow. Assignments reach whoever got the job, and a nightly warning lands before a promised date slips.

See where your outside spend goes

Name the contractor on a work order and the cost attributes itself. Spend and average turnaround per vendor, a nudge before their insurance lapses, and a flag when one company's repairs keep coming back.

Turn a walkaround into a record

Give a schedule a checklist and sign-off becomes an inspection: every line marked OK, Problem or N/A from a phone, no login. Anything marked a problem opens a work order with the note and photo already attached.

Add your whole team, free

Invite every owner, admin and tech. Pricing is per shop, not per seat, so growing your crew never costs a cent more.

Multiple locations

One login, every location

Run two shops or six. Keep each site's equipment, work orders and schedules separate, then step back and see which location is actually costing you money.

  • Switch the whole app to one location from the top bar, or view every site at once.
  • Compare locations side by side on spend, downtime, open jobs and PM compliance.
  • QR labels print with their location on them, so a scan always lands at the right site.
  • Included in the flat price. There is no per-location fee.

Only one site? Nothing changes. The location controls stay hidden until you add a second one.

Your technicians don't need another app

Every asset wears a QR label. A tech, or even a customer on the floor, points a phone camera at it and reports the problem in the browser. Nothing to download, no password to remember, no seat to pay for. That's why problems actually get reported.

FAQ

Questions, answered

Everything you need to know before you start. Still stuck? Email hello@equipora.app.

Do my technicians need to download an app or create logins?

No. Each machine gets a QR label. A tech scans it with their phone camera and reports the problem on a web page. There is no app to install and no account to create for the people on the floor.

How much does Equipora cost?

One flat price of $49 per month, or $490 per year, which works out to two months free. That covers your whole business with unlimited users, unlimited assets, and unlimited locations. There are no per-seat fees, and the price does not change as your team grows.

Is it really unlimited users?

Yes. Invite every owner, admin, and technician you have. Pricing is per shop, not per person, so adding people never costs more.

Can I run more than one location or site?

Yes. Add each shop, gym, or job site under one account. A location picker in the top bar filters the whole app, so your dashboard, work orders, assets, and schedules can show a single site or all of them together. The dashboard also compares your locations side by side on spend, downtime, open work orders, and PM compliance, so you can see which site is costing you the most. QR labels print with their location on them, and each asset also keeps a free-text area like Bay 3 for where it sits inside that site. If you only have one location, none of these controls appear.

Do extra locations cost more?

No. Locations are included in the flat price, the same way users and assets are. One account covers every site you run, and adding another location never changes your bill.

How does the free trial work?

You get 14 days free and no credit card is required to start. You can add assets, print labels, and run the full workflow during the trial. Nothing is charged automatically when it ends, when you are ready to continue, you pick a plan and subscribe from inside the app.

How do I pay after the trial?

You subscribe right inside the app. Open the billing page, choose the monthly or annual plan, and pay by card through a secure checkout. Payments are handled by Paddle, our payment provider and merchant of record, so your card details go to them and never touch our servers. Your subscription then renews automatically until you cancel.

Can I cancel my subscription?

Yes, any time. Cancel from the billing page in a couple of clicks and you keep full access until the end of the period you have already paid for, nothing is deleted, and you can pick up where you left off if you resubscribe. You can also update the card on file from the same page, and refunds are covered by our refund policy.

What kinds of businesses is it built for?

Small operations that run on equipment: auto and machine shops, gyms, contractors, restaurants and cafes, laundromats, and small fleets. If your day slows down when a machine breaks, it is a good fit.

What do I need to get started?

Just a printer for the QR labels and a phone for your techs. You print a label for each asset from the dashboard, stick it on, and you are ready. There are no scanners or special hardware to buy.

Can I bring in my existing equipment list?

Yes. You can import your assets from a CSV file, so you do not have to enter them one by one.

Can I see how much uptime my equipment actually has?

Yes. The Uptime report gives you an availability percentage for every machine, worst first, alongside mean time to repair and mean time between failures. It is built from the downtime your team enters when closing a work order, and it answers to the same date range and location filter as the rest of the app. Equipment you added part-way through a period is measured only from the day it came into service, so a new machine cannot flatter your numbers.

Will it tell me if I am paying for repairs still under warranty?

Yes, if you record when the warranty runs out. Add a warranty expiry date to an asset and Equipora watches it two ways: it flags repair spend you booked while the supplier was still on the hook, so you can go and claim it back, and it nudges you to run a full inspection before the cover lapses. You can also tick a work order as covered by warranty so it stops counting against you.

Can I set response times for work orders?

Yes. Set a target in hours for high, normal, and low priority, and every new work order gets a due date from the moment it is reported. Late jobs get a past-due badge, show up on your dashboard, and appear in the nightly email, and you get an on-time rate across everything you have closed. Changing a target only affects work orders opened from then on, so widening your targets can never quietly repair a bad month.

Will I know straight away when something breaks?

Yes. When a machine is marked out of service, or a job is opened at high priority, Equipora emails your owners and admins immediately rather than waiting for the next morning's digest. Whoever a job is assigned to gets their own email, and there is a nightly heads-up for work approaching the date you promised. The urgent alert keys off the machine actually going down rather than every report, so a machine that is already down stays quiet however many people report it, and every one of these is a switch you can turn off.

Can I track the contractors I send work out to?

Yes. Add the outside companies you use, then name one on any work order. Equipora then shows what each vendor has cost you, their average turnaround from opening a job to closing it, and how much of your maintenance spend went outside rather than staying in-house. It also warns you before a contractor's certificate of insurance lapses, and tells you when one company's repairs keep coming back inside 30 days.

Can my technicians run a daily inspection checklist?

Yes. Add a checklist to any maintenance schedule and signing it off becomes a round: each line is marked OK, Problem or N/A, and a tech can work through it from a QR scan with no login at all. Anything marked a problem opens a work order against that machine with their note and photo attached, and you can require a photo on the lines where evidence matters. Finding a problem never counts against your compliance score — that measures whether the inspection happened, not whether the equipment passed.

What are Insights?

Insights are plain-English alerts on your dashboard. Instead of leaving you to read charts, Equipora tells you things like which machine is eating your budget, which failures keep repeating, which repairs you paid for under warranty, which jobs are past the date you promised, which contractor's repairs keep coming back, and which certificates — yours or a contractor's — are about to expire.

Is each business's data kept separate?

Yes. Every organization's data is isolated, so one shop can never see another shop's assets, work orders, or costs.
